How to write clear payment terms on Indian invoices so clients know when to pay — and what to do when they don't.
Payment terms turn an invoice from a document into a contract reminder. Without them, clients assume 'whenever' — and you wait weeks for UPI or NEFT that should have arrived in days.
Common terms for Indian freelancers and SMEs: 'Due on receipt' (pay immediately), 'Net 7' or 'Net 15' (pay within 7 or 15 days of invoice date), and '50% advance, 50% on delivery' for larger projects. Match the term to what you agreed in email or contract; the invoice should never surprise the client.
Write terms in plain English in the invoice footer or a dedicated 'Terms & Conditions' block. Example: 'Payment is due within 15 days of invoice date via bank transfer or UPI. Please include invoice number INV-042 in the payment reference.'
Late fees are legal in many B2B relationships if agreed upfront, but keep them reasonable and stated before work starts. A polite reminder email at day 7 and day 14 often works better than jumping straight to penalties — especially with long-term clients.
Invoice Generator Free lets you add notes and terms on every PDF from the landing page. Paid plans add scheduled email reminders from the dashboard, so you spend less time chasing payments manually.
If a client disputes an invoice, fix the document and reissue with a new number or a credit note per your CA's advice — do not edit a PDF after it has been sent and logged for GST or tax records.
